This policy explains how ICF Labour Union (ICFLU), affiliated to AIRF and HMS, handles the personal information of its members. It covers this website, icfluairf.com, and the ICFLUAIRF mobile application.
The union is the custodian of this information. It is collected for union work and nothing else.
Information we collect
When you register as a member, you provide: your name, mobile number, employee ID, member category (technician or supervisor), designation, department, shop or unit and division. These are required to create your membership record.
You may also choose to add: date of birth, blood group, grade, date of appointment, home address, an alternative contact number, and emergency contact name and number. These are optional and you can leave them blank.
Your passport-size photograph, shown on your digital membership card, is added by the union office. Members cannot upload their own photograph.
When you use the app we record: the make and model of your device, its operating system version, the app version, and a notification address issued by Google (a push token) so the union can send you updates. We also count how many times the app is opened and how long it is used, to understand whether the app is working for members.
When you contact the union through the app we store what you send: grievances, suggestions, any files or photographs you attach, and the union’s replies.
Why we collect it
• To maintain the union membership register.
• To send you union announcements, circulars and urgent notices.
• To receive, route and resolve grievances — your division and shop determine which office bearer is responsible for your case.
• To issue and display your digital membership identity card.
• To let you know about union meetings, general body sessions and programmes.
• To wish you on your birthday, if you have given your date of birth.
• To list you in the voluntary blood donor directory, only if you separately switch that option on.
Who can see your information
Your membership record is visible to the union office bearers who administer the union.
A grievance you file is visible to you and to the office bearers responsible for your division and shop. A grievance you mark confidential is visible only to the union’s senior office bearers.
Your grievances and suggestions are private to you. Other members cannot see them.
We do not sell your information, and we do not share it with advertisers, data brokers or any other outside organisation. Notifications are delivered through Google’s Firebase Cloud Messaging, which carries the message to your phone on our behalf.
We may disclose information if we are required to by law or by a lawful order of a court or authority.
How long we keep it
Your membership record is kept for as long as you are a member of the union. Grievance records are kept as part of the union’s working record. If you delete your account, your membership record, your grievances, your suggestions and your device records are removed.
Your choices
• You can view your profile in the app. To add or correct any of the optional details above, use the app if your version offers it, or ask the union office.
• Your name, employee ID, shop, division, designation, member category, mobile number and photograph are maintained by the union office. Ask them to correct any of those.
• The optional fields can be left blank or cleared.
• You can join or leave the voluntary blood donor directory whenever you wish — in the app, or by asking the union office.
• You can turn notifications off from your phone’s settings.
• You can delete your account from inside the app — Profile, then Delete my account. This permanently removes your record and everything you have filed. It does not by itself end your union membership; speak to the union office about that.
Keeping it safe
The website and app communicate over an encrypted connection (HTTPS). Passwords are stored in hashed form and are never readable, including by the union. Access to member records is restricted by role, and the whole system is backed up nightly.
Children
The app is for employees of the Integral Coach Factory who are members of the union. It is not intended for anyone under 18.
Changes to this policy
If this policy changes, the revised version will be published on this page with a new date at the top.
